CORBRIDGE YOUTH INITIATIVE DATA PRIVACY STATEMENT

1. Your personal data – what is it?

Personal data relates to a living individual who can be identified from that data.  Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation 2018 (the “GDPR”).

2. Who are we?

The Executive Committee of Corbridge Youth Initiative (“the Committee”) is the data controller (contact details below).  This means it decides how the personal data of our service users and their parents or guardians, our employees, volunteers, students, donors, supporters, trustees and other third parties (“Data Subjects”) is processed and for what purposes.

3. How do we process your personal data?

The Committee complies with its obligations under the “GDPR” by keeping Data Subject’s personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

We use your personal data for the following purposes: –

  • To administer staff and membership records, including details of parents and guardians of youth members, their telephone numbers, mailing and email addresses;
  • To maintain our own accounts and records;
  • To inform you of events and activities of Corbridge Youth Initiative
  • To liaise with members of the Committee, Officers and Staff and generally as a means of necessary contact with Data Subjects.

4. What is the legal basis for processing your personal data?

  • Explicit consent of the Data Subject.
  • Where use of their information is necessary to fulfil the role of Corbridge Youth Initiative as providers of youth services.
  • To meet legal compliance obligations including performance of a contract with a Data Subject.
  • To protect a Data Subject’s vital interests
  • To pursue our legitimate interests but only where our interests do not conflict with or prejudice the interests or fundamental rights and freedoms of any individual.

5. Sharing your personal data

Your personal data will be treated as strictly confidential, securely stored and will only be shared with Officers for the time being and members of the Executive Committee of Corbridge Youth Initiative and where appropriate, on a need to know basis, authorised members of staff. Personal data of Members of the Executive Committee, in accordance with the requirements of the Charity Commission will be shared with that body.

6. How long do we keep your personal data?

Your data will be kept for no longer than is required by law or the purpose for which we collected it.

7. Your rights and your personal data

Unless subject to any exemption under the GDPR, you have the following rights with respect to your personal data: –

  • The right to request a copy of your personal data
  • The right to request correction of personal data found to be inaccurate or out of date
  • The right to request information as to how we are using your personal data
  • The right to request your personal data is erased
  • The right to withdraw your consent to the processing at any time
  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing
  • The right to lodge a complaint with the Information Commissioners Office.

8. Further processing

If we wish to use your personal data for a new purpose, not covered by this Data Privacy Statement, then we will provide you with a supplemental notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions and will seek your prior consent to the new processing.
